The Front Desk Receptionist is the first point of contact for clients, candidates, and employees contacting the staffing agency by phone and in person. This role answers and routes incoming calls, provides accurate basic information, takes detailed messages, and assists callers with common issues. The Front Desk Receptionist also supports candidate onboarding by helping applicants navigate the online application, confirming receipt of applications, reviewing submissions for completeness, and communicating missing information or required documents.

Physical Requirements: Office-based role with continuous phone/computer use; ability to sit/stand for extended periods; occasionally lift up to 15 lbs (files/office supplies)
Phone & Front Desk Coverage
Answer a high volume of incoming calls professionally and promptly
Route calls to the appropriate team member (recruiting, healthcare scheduling, client services, payroll, etc.)
Provide accurate answers to common questions (office hours, how to apply, required credentials, next steps, etc.)
Take clear, complete messages and ensure timely delivery and follow-up
Greet walk-in candidates/visitors, confirm purpose of visit, and direct them appropriately
Candidate Application Support
Assist candidates with the online application process (account setup, navigation, uploads, basic troubleshooting)
Verify applications are received and correctly associated with the candidate profile
Review applications for completeness and accuracy (work history, contact info, availability, credentials, acknowledgements)
Identify missing information and/or required documents (as applicable) and notify candidates what is needed
Track application status and follow up with candidates to obtain missing items within required timeframes
Administrative & Office Support
Maintain organized front desk processes (call logs, message logs, visitor sign-in, basic documentation tracking)
Support recruiters and office staff with general administrative tasks (scanning, emailing forms, document filing, data entry)
Maintain professionalism and confidentiality when handling candidate and client information
Escalate complex issues to the appropriate team member (payroll disputes, credentialing questions, client complaints, compliance matters)
High school diploma or GED required; additional administrative or customer service training preferred
1+ year of receptionist, front desk, call center, or administrative support experience preferred
Strong phone etiquette and customer-service mindset
Comfort using web-based systems, email, and common office software (Microsoft Office / Google Workspace)
Strong attention to detail and ability to review information for completeness
Ability to remain calm and professional in a fast-paced environment with frequent interruptions
Must pass a drug screen and background check
